Submitting theses for grading as PDF/A files

Theses must be submitted in PDF/A format, as that guarantees their long-term preservation. Familiarize yourself with the PDF/A instructions, use Aalto's thesis templates and carefully check your file's compatibility with the PDF/A format before submission. An Aalto IT Service Desk can help, if needed.

Completed bachelor's and master's theses are submitted for evaluation in PDF/A format through . The submitted thesis must be the final version, i.e. the one that is ready to be evaluated, approved and archived. It must be consistent with Aalto's thesis template, including elements such as the cover page and table of contents. The thesis file format will be automatically checked during submission; the system only accepts thesis submissions that comply with the correct PDF/A standard.

PDF/A documents are compliant with the ISO standard for Portable Document Formats. These are designed for long-term preservation and archiving.

There are usually no problems with converting a file to PDF/A format, especially if you have used an Aalto thesis template for your work. However, if your work includes many images or was created using special software (such as InDesign), it is recommended to set aside extra time for the file conversion.

Instructions for creating a PDF/A-compliant file using Word (Windows and Mac) or LaTeX. The LaTeX template results directly in a PDF/A-2b file, whereas creating a PDF/A-3a file with Word is done in two stages, requiring the use of PDF-XChange in the latter stage.
