Form-based workflows streamlined and digitalized

Aalto University digitalization is progressing.

ITS Digi Process Factory has digitalized workflows during the autumn to improve the transparency of workflows and speed up the service.

The first 3 ready workflows are the application of rights to WebOodi, WinOodi and  Opi Analyzer, used by Learning Services (LES). In this implementation has been done the process streamlining, the actual workflow itself, and the testing of the workflow and process. The rights for different systems can now be applied with the same form. ICT for Learning team will inform when the new workflow can be used.

In addition Digi Process Factory has implemented the renewed IT device order process. In the new workflow workstations, supplementary products, phones and subscriptions can be ordered together on the same form. The form and workflow have been implemented with a new system and it has been integrated to workstation provider’s web shop. The orderer can view product information in the web shop and choose products directly from the provider’s Aalto assortment. After approval process the order is sent directly to the provider and thus a manual step is removed from the order processing.

In addition to workflows, the workflow management setup has been defined (Governance Model), and an order form for new workflow needs has been implemented. Principles for prioritizing future workflows have also been defined.

What is Digi Process Factory?

Digi Process Factory is a streamlining and automation service for workflows and forms that works together with external suppliers when needed. The purpose is to digitalize workflows that do not become digitalized as part of a larger system development (eg Sisu). Our goal is to significantly reduce the paperwork processes at Aalto.

In the implementations priority is given to Aalto-level widely used processes, and in particular those that facilitate the work of academic staff or students.
